External Hire

The base cost of hiring R-CADE for external events is £50 for loading in and £100 for the first setup for the first hour. Each setup (including the first) is then £50 for each hour thereafter. If the event runs over time there will be a further £30 charge for any time added over the agreed hours on top of the standard rental costs. R-CADE staff reserve the right to refuse extension of their stay at the event if not logistically possible.

Each of our retro game setups includes one console, one TV, and one game.

Consoles and games must be selected and agreed upon prior to the start of an event. Changes may be made up to 72 hours before an event is due to take place. In the event of unavailability a substitute may be offered. R-CADE cannot guarantee availability but will endeavour to supply as close to the requested setup as possible.

Standard fees apply as detailed in the Hire Fees breakdown. For events requiring 4 setups or more additional staff are required and an additional fee of £30 per setup per hour applies.

R-CADE can provide tables, chair and power extension cables within reason. Please ensure that the area designated for R-CADE meets the specific power and space requirements before the event is due to take place.

Additional hire requests can be discussed and negotiated on a case by case basis. Please give as much detail about the venue and event as possible in the Hire Form.

Payment options can be discussed and agreed upon during application.

R-CADE staff have the right to cancel the event hire at any time if they believe the event, location or people involved are unsafe, inappropriate or misleading with their intentions.

All games, consoles, equipment and marketing materials brought in by R-CADE should only be setup and maintained by R-CADE staff unless otherwise agreed upon in the application.

Only games that have age ratings appropriate to the guests at the event will be allowed.

If any R-CADE equipment is left unattended in the venue, and as long as is agreed upon by both parties, the person / company hiring will be fully responsible for any equipment, consoles, games or merch left and must replace, repair or compensate if any of this equipment is damaged or stolen.

A deposit of 50% of the total hire is required to secure the booking. Please note we will only allow refunds or reschedules up to 72 hours before the agreed hire time begins. Signing below signifies your acceptance of the above terms.
